Hey everyone, I’m Lisa Furler. I’m our product enablement specialist at Sourcetay, I’m excited to walk you through some really effective workflows that are designed to really enhance your buyer productivity. So the very first workflow I want to talk about is automating our supplier follow-up. Sourcet automates supplier follow-up with our AI agents. So there are three PO delivery agents and three open order agents or a couple of different open order agents, right? Every single time you cut a new PO, Source Date automatically sends that to your suppliers in Source Date. Every single time you propose a change or you reject a change from your supplier, we’re sending those directly to your supplier. And also every time you update orders. So we’re going to take a look at this in app because there’s some things I want to make sure that we all are aware of that we all see in our app. And then secondly, our open order chasings. That’s just how we handle new POs and changes to POs. But we’re also having the, we also have a series of reminders built into our platform that take care of all those manual follow ups. Let’s look at those PO delivery agents. So within Source Day, in our automation hub, there’s this area at the end of core automations right here. And so we’re looking at our new POs and buyer initiated changes. And here you can see our three agents that are notifying your suppliers when you cut POs, when you make changes to POs, when you update in an ERP. Anytime you click on these to review those details, we’re going to give you a little bit more insight, but I want to draw your attention to this last one here, notifying your suppliers when POs are updated in the ERP. We are absolutely the place for collaboration on price, quantity, due date, ship date, But we’re also sending notifications when other critical fields on those order lines changes like item, description, revision, and even ship to address. So these are really important pieces of information that your supplier needs to know about right away. So you can come in here and review the various fields that will trigger an update in your ERP. We’re also adding some additional indicators within our platform that will highlight when these areas change as well. So we’re looking for some updates to our accept propose model for both you and the supplier that are designed to give you additional insights as to what exactly is changing and why are we requiring a confirmation. So we’re really excited to push out some of those changes coming soon about how your suppliers can see both in their email and in the application directly how these things are changing, especially that ship to address. It’s really important. Now when we move up and look at our reminders, you can see all the different reminders we have listed here for your supplier. These reminders are all built on buyer settings and configurations within the platform. It used to be that every single buyer had to set this, but we’ve recently moved this to a more global supplier settings page so you can set defaults that impact all of your suppliers, and then you can make changes at a per supplier level. So let me show you what I mean by that. When we click into this first one here, we can see our open order chaser is sending reminders on new orders on Mondays and Thursdays. And we have this disabled for at least one of our supplier, but nine forty are getting these reminders on Mondays and Thursdays. So that means that your supplier is going to get a new order notification. And if they have not acknowledged that notification, we’re going to remind them on Monday and on Thursday as part of their digest. So if you’re curious when we’re sending these reminders for any of these settings, you can simply click in here and view those details. And if there’s any suppliers that need maybe more reminders, maybe a little less, you can always navigate to the supplier settings in our supplier hub, and you can adjust this at a per supplier level or at a global company level. Typically your buyer admins are responsible for that, but we can also set up delegates that can help manage those supplier settings. So together, our PO delivery agent and our open order chaser agent are ways that our platform is built on giving you the maximum efficiency. And so knowing these are ready to go for all of your source day suppliers begs the question, who are your Source Day suppliers? And is it perhaps time to review and expand your supply chain network on Source Day? So we always recommend that we’re spending some time thinking about suppliers that are using Source Day and is it the most accurate list or should we maybe open this aperture up some? So we typically recommend that we have suppliers using Source Day that are strategic, right? They are our direct spend suppliers. We’re going to get the highest business impact there. But also suppliers that have a significant PO volume. Maybe we send them a lot of POs or our POs are really complex with hundreds of order lines because sources at the line level. That’s going trigger some frequent interactions and some frequent follow ups that are going to be needed. So that would be a really big efficiency gain. If you’re feeling like you have large PO volume suppliers that aren’t in source day, we could probably gain a lot of efficiencies just by getting them into the platform. Secondly, or thirdly rather, you can think about suppliers that are generating a tremendous manual effort. Those suppliers are frequently changing, that you have little insight that you have to chase or follow-up often with. And another indicator of a supplier that’s creating a tremendous amount of manual work happens at the end when you get those invoices. If you’re seeing a lot of mismatches with your invoices or just not quite lining up with the cost, it’s likely due to the fact that those changes are not making it into the ERP. Getting those suppliers into source day can greatly impact your efficiencies even at the end. Plus your accountants will love you if your PO lines are matching when those invoices come in. And finally, about those strategic suppliers, the ones that have absolutely critical materials or really long lead times. Those would be really important suppliers to making sure that they are using Source Day. My colleague and I recently did an entire webinar on expanding your supply chain and expanding your network in Source Day. So I’d encourage you to take a look at that or let us know if you have additional questions. Your customer success team is always willing and ready to have these conversations with you and can bring a lot of strategy to your supplier expansion kind of process. And it’s so important. And I want you just to not take my word for it, but I want to share with you what my friends at Ag Leader experienced. So I recently did a webinar with Ryan Witt out of Ames, Iowa, where he talked about how things were before Source Day and the impacts that they got from Source Day. Ag Leader was experiencing probably what a lot of you are experiencing too. Their buyers were bogged down with supplier communication. They had low on time delivery to them and then to their customers. And they just were trying to compensate for that by having a significant amount of excess inventory and the carrying costs that are associated with that. By getting 100% of their strategic suppliers onto Source Day, they were able to make substantial and significant gains in all areas. But the one that I’m most excited about is that their customer on time delivery went from 76% to 99%. An ag leader is subject to the same supply chain chaos that we all are. They also work in agriculture, and so they’re subject to the whims of mother nature. And their on time delivery is absolutely critical to their customers. Because when you work in agriculture, a delay of even a day could have pretty detrimental outcomes to your yields and to your harvest. SourCity was able to partner with them and really make substantial impacts to their customers. So I’d encourage you to really take a look at your supply network, engage in some performance reviews, look at your operating procedures, and talk to your customer success team about how can we continually activate suppliers for source day. Having a regular alignment cadence is really important for you to just have this continued optimization of source day and expanding your network to many different suppliers. And I know what you might be thinking. Not all of our suppliers can use Sourcetate the way that everyone else does. And so we have five different methodologies or collaboration kind of avenues for your suppliers. And that might sound like more, so we’re going to talk about a new one that we’re excited to offer. You’re familiar with our interactive email. This is really designed for maybe a supplier that doesn’t have a lot of PO lines. So our interactive email, no login, very quick adoption, and we’re updating real time via email. Our portal access gives your suppliers the exact same PO dashboard that you have and allows them to have full visibility and full reporting and full actions. And they can collaborate via bulk import as well. We also offer ways to extend your enterprise API or a hybrid EDI if you’re operating in those methods. But the one that we’re most excited about is our intelligent document processing. This one has a new way for your suppliers who are already sending you order acknowledgments, and there is zero onboarding and zero change for your suppliers. And so this brings me to our second workflow, automate order acknowledgments. With IDP, we have a real opportunity to expand your supplier network to include those suppliers that are sending you automated order acknowledgements. So these suppliers typically are ones that have automation built on their end that receive your purchase orders and automatically send you an order acknowledgment or an OA. With this new capability, we can now take those order acknowledgments, ingest those, process the information, pull out key pieces like purchase order number, item part number, cost, quantity, date, all of those key details and directly match those to the purchase order at the line level like we do today. And then we take all of that order acknowledgement, it’s connected to the PO, we would update your ERP. And then anytime that your suppliers are proposing changes, we route those changes through your purchase order dashboard as we do today. Let’s take a look at how this all comes together and explore our intelligent document processing that’s currently in beta. So here you can see I’m in SourceDay and I have a new hub at the top called our match queue. This is where we’re going to route any of the all of those order acknowledgments that we’re matching. And you can see that I’ve got a number that have automatically matched and have been updated in my ERP. I also have some that I’ve reviewed and pushed kind of manually. And let’s talk about kind of why that might be. So we’re going to be extracting those key pieces of information that I just mentioned earlier. And anytime that our confidence in the match to the PO line is not where it needs to be, we’re going to route these to review for you. You come in, we’re going to land you exactly on what needs to be reviewed. I’m going to show you exactly the order acknowledgments that need your attention. When we click into review any of these, we’re going to be taken directly to that OA. Here I can see the exact order acknowledgment line that needs my attention. And with just a couple of clicks, I can confirm those matches and update my ERP. I also want to draw your attention to these flags that we have noticed here. So when we open this up, we’ll see those proposed changes or where the OA we’ve matched at the line level, but the individual fields are different. We’re going to route all of those changes just as we do today to your order dashboard. So when you go into your needs attention on that PO dashboard, these are now going to be there as proposed changes from these suppliers. Additionally, we’ll highlight where these changes came from in the accept propose modal. So giving you the most insight as we can on these order acknowledgments. We know that when we have suppliers using Source Day, you will see late order prevention, a reduction in buffer stock, and you will gain tremendous efficiencies just in extending your network alone. That on time delivery to you enhances, but ultimately your on time delivery to your customer significantly enhances. And all of this is built on 100% PO accuracy back in your ERP. And brings us to our third workflow, automating low risk decisions. Automation is often understood as a time saving feature and it certainly is, but I would encourage you to think about it as a risk allocation strategy as well. Right now, our buyers spend a large portion of their day reviewing all of those low risk, repetitive PO changes that don’t have major impact on kind of the end results. And so our source state agents can automatically move those routine changes forward based on business rules that you’re likely already using today. Automation ensures that the production doesn’t stall because the supplier is receiving a much faster response. This allows your buyers to focus on where it really matters. Those high risk exceptions that are going to impact your on time delivery in full. One thing I hear from our teams is that we’re very interested in automation, but we don’t always have a full understanding of the sheer volume of those tasks that we can automate. And so we’ve been working on helping all of our teams better understand how automation can impact their everyday life. And so you’ll see in our platform where we’re adding some clues as to what are good areas for you to automate. So we navigate to our automation hub here at the top. All of our users can come in and review those core automations that we were just looking at. And we can also explore this decision automation. So everyone has the ability to click on this new workflow. Let’s kind of open up the ability to build a workflow and you certainly can start from scratch. If you already know your exact use case, I want to automate X, Y, and Z, you can certainly build from scratch. Or you can also take a look at where the biggest gains would be. So in this instance, you can see that we’ve got some easy wins here by looking at how many different times we’ve accepted this type of change in the past. You can see in this example, move outs are less than a week. We’ve touched that type of proposed change almost 6,000 times this year. So we’re going to surface all of these different indicators to direct you to where you can get the most efficiency gains through our decision automation. So we can try this workflow out. That’s going to bring you to our automation workflow builder, and then any one of your teams can set up and stage any of these workflows. So when up at the top, we can go ahead and save any of these workflows as a staged workflow. What this is going to do is going to trigger our run system. It’s going to trigger the history to start keeping a tab or a tally or a report of how many times, how many POs and which POs would have been impacted by this particular workflow. So this is a great way for you to explore automation and decide where can I get the most efficiencies by our decision automation tool? Here are just some of the results that our companies are experiencing through automation. And so it is a major way that your buyers can gain efficiencies in their day to day. The fourth workflow I want to talk about is prioritizing the exceptions that matter most. SourceSafe’s MRP exceptions help your teams move beyond that flat MRP exception report by adding planning and financial context. So our buyers can filter and sort these exceptions by factors like opportunity cost, helping them focus on the issues that had the greatest potential business impact. We’ve also expanded some of the filtering capability, allowing you to really zero in on the right orders, protecting the most revenue or reducing excess inventory or carrying costs quickly at a glance. The goal is very simple, right? Less time sorting through exceptions and more time resolving the ones that matter. Now, if you don’t have MRP exceptions when it comes to Source Day, there are other ways that you can prioritize. In our platform, we have built a pretty robust system of filtering that you can build out kind of your own exception report or your own orders that you need to keep an eye on. Perhaps that’s critical suppliers or even important part numbers. You can filter that here and save those as a unique view, or you can take advantage of our suggested views all the way at the bottom here. So when you click on that suggested view, we’re going to give you a real fast way to build perhaps tier one suppliers, suppliers that you know you have to keep a very close eye on or critical parts. And so when you try these out, we’re going to kind of walk you through the step by step of how to build a customized view. These customized views are saved and then always revisitable here in this my views area. So this is a great way for you to build kind of your own prioritization. And our final workflow for efficiency is turning supplier changes into better action. And we do this by understanding these changes even more. And so there are two ways that we want to enhance our understanding of these supplier actions, and that is through root cause and milestones. When suppliers are proposing changes, sometimes they’re really great at telling us the context behind that change. And sometimes they might not be so good at doing that every time. And so we’re rolling out root cause that allows you to set up your list of causes to help capture the reason behind the supplier proposed changes. You can require these or make them optional for your suppliers, and then you can see the exact root cause right there in your PO dashboard. This is going to give you all of the context behind the changes, reducing the need for you to continually follow-up and find out why. Allows everyone in your team the ability to see exactly what happened behind any proposed changes and often can help you identify recurring issues to address future orders before it becomes a risk. And these root causes can lead to a really robust supplier performance conversation as well. The other way that we’re doing this is with our configurable production milestones. Because delays don’t always happen right at the due date. They often start much earlier in the process, particularly for those long winded suppliers that we have. They can start in fabrication, QA, or staging, but we don’t have the visibility as to where that is. We often learn about those changes when it’s too late to react in a really effective way. And so configurable milestones creates a shared language or shared insight on the progress of the purchase orders for both the buyer and supplier. So we have clarity early in the life cycle. Our milestones are optional. They’re configurable and they are interval by both the supplier and the buyer. So it allows your teams to apply them where that insight really truly matters. So for our suppliers, those milestone updates can reduce some of that reactive status of requests and those open order updates that you’re sending to them. For our buyers, they enable early risk detection and more proactive collaboration. And so we’ve got the ability to see where purchase order lines are on the dashboard and also some reporting behind this as well. So our milestones is a really great way to get some of that tailored insight to really make some progressive plans and mitigate risks early. So today we’ve gone through some ways really gain some productivity, whether that’s by automating your supplier follow-up, which we do out the gate, and then expanding your supplier network so more suppliers can benefit from the automated follow-up. Processing supplier order acknowledgments through our new intelligent document processing, and then expanding your supplier network and then safely automating those low risk decisions. All of that will enable you to truly prioritize the exceptions that matter the most to your team and turning all of that supplier insight and changes and context around those changes into better information for better actions.
